OneDrive Available to All UofM Employees

Did You Know OneDrive, Microsoft’s cloud storage service, is available for all UofM employees? This service provides a solution for sharing documents with internal and external (non-UofM) colleagues while working on research, class projects or administrative collaboration. OneDrive has five TB (terabytes) of available storage space. See IT6005 Campus Data Security Policy and the ITS Data Storage Guidelines for usage guidelines. To access OneDrive, visit the webmail site and log in using your email and password. Look for the App Launcher (nine tiles in a square) at the upper left of the screen, near the Office 365 logo. Select OneDrive and let the collaboration begin.

Faculty and staff also can place a service request with their LSP (local service provider) to install and link OneDrive to their desktop. Synching all of your files to your OneDrive provides a safe backup that can be accessed online.

Telecommunications Upgrade

Information Technology Services will conduct an upgrade of our telecommunications infrastructure this summer.  The upgrade will provide several benefits including: improved reporting and analytics for call centers, additional support for voice-over-IP (VOIP), lower monthly operating costs, decreased capital expenditures for equipment replacement, security upgrades and future savings related to cloud-based technologies.

Major components of the upgrade project will be performed during periods of low-call volumes in order to minimize campus impact.  No hardware changes will be made to office phones as part of this upgrade.  Updates and additional information will be provided when the project plan is finalized and we near the implementation dates.

U Of M IT Security Initiatives

Dear Campus Community,

The University of Memphis takes information security very seriously and is committed to appropriate actions that safeguard University data.  The following initiatives will strengthen our information security posture:

  1. Enhanced network firewall controls – Effective November 12, 2018, the University will implement configuration changes to our network firewall to restrict unapproved externally-initiated incoming network traffic.  Most users will not be impacted by this change since most network activity is internally-initiated outgoing network traffic.  VPN access will still be allowed, and exceptions will be made for legitimate University network traffic.  To request an exception in advance, please contact the ITS Service Desk using the contact information below.
  2. Expansion of multi-factor authentication – The University will expand multi-factor authentication (Duo) to all employees to provide an additional layer of security.  Beginning November 1, employees on-boarded will be registered for Duo and begin using multi-factor authentication.  All other employees will be registered effective February 4, 2019.  Employees may opt-in for Duo now.   Students may also opt-in for additional protection.
  3. Expansion of IT Security Awareness Training – The University understands the importance of employee training in minimizing IT security risks, and we are expanding our IT Security Awareness Training program for employees.  Beginning November 1, new employees will be registered for IT Security Awareness Training.  All existing employees will be registered for training effective November 1.  Annual training will be available through February 1, 2019 for fiscal year 2019.

Status Update: Network Upgrade Project

The University of Memphis network upgrade project is proceeding according to schedule.  Building switches and existing wireless access points have been replaced.

Individuals should use the following appropriate wireless network:

  • um – Primary wireless network for use by UofM students, faculty, and staff.
  • um-guest – Temporary access for campus visitors that requires sign-in every 24 hours.
  • um-devices – Connect wireless devices such as gaming consoles, wireless printers and streaming devices to this network.
  • eduroam – Visitors to UofM whose home institutions participate in Eduroam can connect to this network using credentials from their home institution.

University employees and students should connect their smart phones, tablets, and computers to the um wireless network.  Accessing the um wireless network will require authentication with your UUID and password.

During the fall semester, ITS will continue to expand wireless network coverage by deploying additional access points, and testing will begin for implementation of the final phase of the network upgrade scheduled for winter break.

Change in Service Desk Hours

ITS will implement a change in its Service Desk Call Center availability. Effective Sunday, May 6th, 2018, the ITS Service Desk will be available from 8:00 AM until 12 AM , seven days a week, excluding some holidays. Incoming calls after hours will be handled by voicemail services. If you require assistance after 12 AM, please leave a message or submit a service request. Messages will be checked daily and receive priority response the following business day. Thank you for your attention to this announcement and for your cooperation.

ITS launching new wireless access pilot

ITS LAUNCHING NEW WIRELESS ACCESS PILOT

Information Technology Services (ITS) is launching a new wireless access network pilot with an additional layer of security. Effective Aug. 14, uofm-secure will provide wireless users enhanced security for passwords and protection of University data. ITS welcomes your participation and cooperation in helping to keep both you and the University more secure with improved encryption. Existing UofM and uofm-guest wireless networks remain in place while the new uofm-secure network is tested. Phishing Message Alert

Dear Campus Community:

 

Information Technology Services (ITS) has monitored an increase in fraudulent phishing email attempts over the last several hours.  The text of the phishing emails varies, but typically asks you to verify your account at a non-UofM website within 24 hours or your account will be suspended or deactivated.  These emails are fraudulent – ITS has not asked you to click a link to verify your account, increase your mailbox quota or upgrade your mailbox.

 

If you receive any email message that has a suspicious link or asks you for account details such as your username and password, you can report the message to ITS staff via email at abuse@memphis.edu or over the phone by calling the ITS Service Desk at (901) 678-8888. If you mistakenly provide your account details via email or to a non-UofM website, please contact the ITS Service Desk for further assistance.
